The Role

We're looking for a warm, organized, and detail-oriented Operations Associate to be a central part of our team. This is a great fit for an emerging finance professional or ParaPlanner.

You'll keep our office running smoothly, support our Advisors, and deliver outstanding client service.

Ideally, you’ll have prior experience in an operations role within a financial advisory.

What You'll Do

Client Service

  • Communicate with clients promptly and reliably via phone and email to address questions and requests

  • Process forms and paperwork (transfers, deposits, beneficiary updates, estate documents)

  • Prepare meeting materials including entreating data, preparing agendas, talking points, and financial summaries. Post-meeting, update CRM and own follow-ups.

  • Maintain and update client records in our CRM system and prepare reports to monitor account activity, touchpoints, business growth, and more

New Client Onboarding

  • Serve as the primary administrative contact for new client intake and client requests

  • Enter data and compile account-opening paperwork with strong attention to detail and own through completion

  • Optimize onboarding workflows using our CRM and email tools

Office & Operations

  • Identify opportunities for process- and operational- improvement including “workflows” for client onboarding and periodic reviews

  • Own and update ongoing list of tasks and client requests, using CRM, and track through to completion. Inform Advisor and team of progress regularly.

  • Manage Advisor calendars, handle mail, triage calls, and monitor website inquiries

  • Forward invoices and receipts to bookkeeper, communicate with vendors as needed

  • Assist with data entry in eMoney, Holistiplan, MoneyGuidePro, and similar platforms to build financial plans and strategies

  • Support local networking efforts and client event planning

  • Take advantage of continuing education opportunities and complete all required compliance and continuing education credits on time

  • Comply with regulatory standards

Qualifications

  • Bachelor's degree required (finance or business focus preferred)

  • Prior experience in financial services operations, wealth management, or brokerage back-office support

  • Series 7, 63, or 65 license preferred (or in progress)

  • Proficiency in Microsoft Office Suite, especially Excel

  • Experience with CRM systems, financial planning software, and bookkeeping platforms (Intuit QuickBooks) is a plus

  • Familiarity with custodial platforms (Raymond James, Schwab, Fidelity) is a bonus
